How to connect Calendly

Connect Calendly via OAuth
From Leadstr settings, click 'Connect Calendly' and authenticate with an admin account that can see all team event types.

Map event types to lead segments
Pick which Calendly event types map to which lead segments. Common pattern: 30-min discovery for SMB Hot leads, 45-min product walkthrough for enterprise, 15-min screening for borderline.

Set up round-robin
If you use Calendly's collective or round-robin events, Leadstr respects that team availability. Otherwise, configure per-rep event types in Leadstr and route by segment.

Choose when to share the booking link
Most teams share the link the moment a lead is scored Hot. You can also configure 'share on explicit ask' (lead must request a meeting) or 'share after threshold' (after N qualifying replies).

Configure follow-up on show / no-show
Define what happens after the meeting: nurture sequence for shows that didn't convert, recovery sequence for no-shows, win-back sequence for cancellations. Defaults are sensible — customize as needed.

Calendly integration FAQ
Do I need a paid Calendly plan?
Basic single-event-type integration works on Calendly Free. Round-robin, team event types, and routing forms require Calendly Standard or Teams.
Can Leadstr book meetings without Calendly?
Leadstr can capture a lead's availability conversationally and create the meeting directly in Google Calendar or Microsoft Outlook. The Calendly integration is recommended when you have an established Calendly setup with routing rules.
What about other scheduling tools (Chili Piper, Cal.com)?
Chili Piper integrates via webhook patterns similar to Calendly. Cal.com is supported via Zapier or our API. For native integrations beyond Calendly, get in touch.
Does the integration respect existing Calendly routing forms?
Yes. If you use Calendly routing forms today, Leadstr passes qualification data into the form and Calendly's routing logic does the assignment. Many teams find Leadstr's own segment-based routing simpler, but either pattern works.
How does no-show follow-up work?
When Calendly reports a no-show, Leadstr automatically starts a recovery sequence: 2-hour follow-up with a reschedule link, 24-hour value-add touch, 3-day check-in. About 30-40% of no-shows reschedule when followed up promptly.
